Example setup: HVAC and mechanical

Who it’s for: a mechanical contractor tracking units, from set to commissioned.

What they want to know: which units are running, and what still needs balancing.

Use this as a starting list, and change whatever doesn’t fit.

  • Units by stage and page
  • Units not commissioned, by model
  • Access panels by what’s behind them
  • Open issues by priority
Field Field type Unit Access panel Issue Why
Mark Text Yes Yes Yes What lists and search call a point. The Name on every card type
Unit stage Status: Set, Connected, Started, Commissioned Yes Shows progress
Model Text Yes From the nameplate; the report can list it
Balanced Flag Yes A simple yes or no that someone switches on
Fix status Status: Open, Fixed, Closed Yes An issue moves through its own stages
Behind it Select: Damper, Valve, Coil, Filter Yes The report groups by it
Priority Dropdown Yes The report groups by it
Manual Files Yes Keeps the document with the unit
Photos Photos Yes Yes Yes Shows the work; nothing to count
Card type Color Inside Ring Also
Unit Unit stage Nothing Nothing Balanced as a Corner flag; Mark as a Label
Access panel The card type’s slate Behind it Nothing Mark as a Label
Issue Fix status Nothing Nothing Priority as a Corner flag; Mark as a Label

A corner flag for Balanced shows which units are done without changing the stage color.

  • A template per unit model, with Model filled in

Once points are going in, you can ask Claude, ChatGPT or Grok Bot things like:

  • “Which units aren’t commissioned yet, by floor?”
  • “Which started units haven’t been balanced?”
  • “Where are the access panels with dampers behind them?”

Want a different setup? Tell Claude, ChatGPT or Grok Bot what your company does and ask it to adjust this one.
